Your monthly bookkeeping fees will be based upon the volume of transactions and the overall complexity of your business.
Our fees are based on:

Do you have contracts?
No. You can cancel services with us at anytime.

Do I have to leave my current accountant?
Of course not. If you currently have an accountant who provides you with payroll and tax services, we can work directly with them to better understand their needs as well. We are offering to take away your bookkeeping headaches. We will work in partnership with your CFO, Controller, and/or CPA. Your current accountant will be grateful for the accurate data that they will receive from us.

Will my current accountant have access to my QuickBooks file?
Only with your express permission! By allowing your accountant to access your data, your accountant can review or change your data files. This will enable you to save time, as you will no longer have to email back up files to your accountant.

How can off premise bookkeeping help me manage my business?
By using our off premise bookkeeping services, your company will no longer have to endure the hiring process and lose value time and money training bookkeepers. You'll be able to make informed decisions based on more than just your cash balance at the bank. Off Premise bookkeeping provides a means to give your company accurate financial data so you can determine what customers and/or products are the most successful. Won't I lose control if the books are done by an outside service?
It depends how you look at it. You will have ultimate control over your financial information, we will control the "busy work" that goes hand in hand with accounting. You will receive weekly, monthly, or quarterly statements in addition, with some packages you will have direct access to your QuickBooks file to view & print reports, print checks, and enter or print invoices. That is what we call control.

How does Off Premise Bookkeeping Work?
Your bookkeeping can't get any easier! Just 3 easy steps:
1. You scan your source documents (invoices, checks, receipts. etc.) and then upload the scanned file to our secure Web site.
2. We do the work while you operate your business.
3. You download your financial reports and checks for printing in your office.

What do you need from me?
Before we begin, you will need to provide us with the following:

  • Federal Identification Number (FIN), Employer Identification Number (EIN), or Social Security Number.
  • Historical documents from start date to current date.
  • Completed Interview Questionnaire and account requirements checklist (which we will email to you).
  • Access to online checking, savings, and credit card statements one month prior to start date (If your bank does not offer online statements we will accept copies of statements).
  • Customer and vendor balances, if applicable.

What happens with?

  • Our office will then create a QuickBooks company file for you on the computer.
  • On a predetermined date and time, we will access your data online and input your transactions into the system. If you are an advanced bookkeeping client, depending on your needs, we may pay your bills and invoice your clients; therefore your data will be updated as the transactions occur.
  • Please note that documents will be returned along with financials on a pre-determined frequency, along with checks to be signed, customer invoices to be mailed, etc.
  • At tax time, you will be provided with either a CD containing tax data or paper financials for your tax accountant/preparer.

What about income tax planning and preparation?
While we are certified and able to provide tax planning and preparation services we need to focus all of our efforts on bookkeeping and consulting at this point in time. As we have significant experience in the industry, we have developed numerous relationships over the years with other CPA firms who we can refer you to. We currently need all of our attention focused on providing efficient bookkeeping services to you, utilizing economies of scale and specialized work distribution in order to provide you with a quality product at an outstanding price. If we take our attention away from that we will lose our competitive edge.

What software will I need?
Our "Bookkeeper Basic" package will not require you to purchase any software. However, your information will be saved in PDF files which can be read using a free version of Adobe Acrobat reader.  No special printer is required either. Clients who select our "Bookkeeper Advanced" or "Controller" packages will need a licensed copy of QuickBooks in order to access their file on our secure and encrypted server.

What kind of Help Desk support is available to me?
Our staff is available to you via E-mail or Phone for any technical questions or clarifications.

What about security? Can other people access my data?
We go to great lengths when it comes to security measures. We use the same level of 128-bit encryption as major banks when accessing and processing information. It is secure and it is dependable. For the first time you can be assured that you and only you are privy to your most important data.  See our Security Policy for more details.

What accounting software can I use?
We currently work solely with QuickBooks as it is our specialty and the most common used accounting software among small businesses. We would be happy to transition your accounting data from whatever system you currently use into QuickBooks and show you the benefits of and versatility of the QuickBooks system.

I have an accounting package already running on my computer and I would like to maintain my accounts there only. How can you handle it?
In order to utilize our remote bookkeeping services, we would need to maintain your QuickBooks file on our secure server. If you select our "Bookkeeper Advanced" or "Controller" package, you will be given a unique username and password to connect to our server from your computer and access to your QuickBooks file.

I do not want to provide any access to my computer. Can I still use your services?
We do not need access to your computer. We provide you with your own remote desktop which contains your QuickBooks file.

Do I need to have some costly "high-end" computer in my office for you to work remotely?
No. The computer that you use now for your regular work will do just fine. You don't need to invest on any additional equipment. As long as you have a high speed connection, you will be ok.
